Position Overview:

The incumbent to this role will support the Global Management Team, which includes C-Level Executives, and their direct reports.

The most important objective of this role is to partner with the Executive Assistant in supporting the CEO and other Executives, as needed, in a professional and completely confidential manner.

The Administrative Assistant will represent the Executives and liaise with other internal and external constituents on their behalves. Specific duties may include:
  • Welcoming visitors
  • Reviewing correspondence and prioritizing incoming calls, emails, etc., as needed
  • Scheduling Board meetings and events
  • Arranging corporate functions and company dinners
  • Managing Executives' calendars and daily schedules including meeting management

Other administrative functions may include:
  • Drafting internal and external correspondence
  • Creating and editing PowerPoint presentations
  • Creating and collating materials for the Board
  • Prepare expense reports for Executives
  • Answering phones, scanning documents, filing, faxing, etc.
  • Setting up video conferences

Manage the US corporate travel program:
  • Vendor management of the corporate travel vendor
  • Arrange travel for Executives including air and local transportation, lodging, meeting accommodations and itineraries
  • Review travel patterns and costs and make cost savings suggestions, as appropriate, to the CFO

Reporting:
  • Run daily, weekly and monthly sales reports, verify data, and ensure accurate distribution

Special projects:
  • Compete special projects and assignments by prioritizing, managing the timeline for deliverables, and working with others to garner support

Key partnerships:
  • Must be viewed as a friendly, helpful and trusted assistant by the CEO and other Executives
  • Collaborate with and support the Executive Assistant
  • Partner with and assist the Receptionist, as needed
  • Partner with Finance in regards to corporate travel

Position Requirements:
  • Minimum 7 years Administrative Assistant experience supporting a 'C' Level nd group of senior managers, preferably within financial services
  • High degree of proficiency in Microsoft Office (Word, Excel and PowerPoint), Concur and a strong online research ability
  • Stable work history
  • Excellent organizational and time management skills; willing to work longer hours " to get the job done
  • Must be able to multi-task, prioritize well and handle a number of potentially conflicting priorities; must be able to work effectively in a fast-paced environment
  • Excellent written and verbal communication skills
  • Good problem solving skills
  • Hardworking, motivated, high self-initiative
  • Experience with Concur Travel and Expense a plus
